    This support solution shows how to create and schedule a report that can be generated and emailed at a specified time.

    Background

    Some SELECTserver reports take a long time to generate. Others may be needed at regular intervals such as once a week or once a month. SELECTserver provides the ability to schedule a report that is emailed to one or more recipients at a specified time.

    Steps to Accomplish

    Access the SELECTserver administration site

    All actions require access to the SELECTserver administration site:

    1. Open the SELECTserver administration site. Most users utilize SELECTserver OnLine.
    2. If prompted for a Bentley login, enter the login of a designated SELECT site administrator.

    Configure report parameters

    Before scheduling a report, the time window, products, and sites must be specified first.

    1. Select the desired report from the Reports drop-down menu.
    2. On the Report Parameters screen, modify the Date Range drop-down menu as needed. To filter results to specific produts and sites, make changes to the Applications and Sites settings.
    3. Once settings are configured to your satisfaction, click the Save Settings button.
    4. Specify a name for the settings. This name must be selected later when scheduling a report.

    Schedule the report itself

    Now that report settings have been configured, a scheduled report must be created.

    1. Select Schedule Report from the Reports drop-down menu.
    2. Click the Schedule A Report button.
    3. In the window that appears, specify a name for the report in the Schedule Title field. This name will appear in the email subject when a scheduled report is sent to recipients.
    4. The report paramaters saved earlier can be applied to more than one report. Consequently, a specific report must be selected from the Report Type drop-down.
    5. Open the Report Parameters drop-down menu, and select the name given to the settings saved earlier. This will ensure that the proper date range, products, and sites are included in the generated report. If only one saved setting is available, it will be selected by default.
    6. The Export Format field specifies the document type of the report sent as an attachment via email.
    7. The Email IDs field contains one or more email addresses for intended recipients. Multiple email addresses should be separated by semicolons.
    8. Configure the Time Zone and Start Date fields to specify when a report should be generated and sent.
    9. If reports will be sent on a regular basis, enable the Repeat checkbox to specify frequency and end date settings.
    10. Click the Save button to create the scheduled report.
    11. The new report will now appear under the Scheduled Reports heading.
