Bulk Load Tricks Using the Workspace Import Wizard

Most of the time, the simple drag and drop method works for importing data. However, sometimes the drag and drop method stops when it runs into certain non-importable files. The user must then track down the file (in pre-V8i, the file is not logged) and then continue the import process.

Also, when documents in a fairly complex directory structure need updating, the drag and drop method may not be used effectively. For instance, a consultant's managed workspace for a specific client may need to be updated occasionally. Wouldn't it be nice if files that need updating get updated and files that are new get added? Wouldn't it be cool if you could do this for the whole directory structure?

Well, the good news is that you can! With ProjectWise Administrator, you can import data in mass and update a directory structure with the latest files. And it will log all the non-importable files and list them at the end. You can then go back and deal with the individual problem files once the bulk of the import is done.
Import Documents

To import documents the first time, follow these steps:
1. Create a target directory in ProjectWise. For instance, create pw:/Workspace/Sample_Workspace/ in relation to W:/Workspace/Sample_Workspace/. Assign the correct environment for the folder if required. Another advantage to this method is that you don't need to assign an environment. With the bulk import tool, you have to use an environment.
2. Once the target directory is created, run ProjectWise Administrator. Expand Workspace Profiles>Managed. Right click on Managed and select Import Managed Workspace.
3. If necessary, import the configuration files first.
4. Select Import Data to ProjectWise, from the File System and click Next
5. Map drive letter folder to ProjectWise folder. For instance, map W:/Workspaces/SAMPLE_Workspace to pw:/Workspaces/SAMPLE_Workspace/. Check on Perform Validation then click Validate.
6. ProjectWise will validate the directory inside ProjectWise and will note which files are new. These new directories and files will have red "X" next to them and will be checked. Click Resolve.
7. ProjectWise will then import the new documents and folders and will keep track of the ones that have errors. These errors will be listed at the end. If no errors are found, the result will be ***IMPORT SUCCESSFUL***. Click Next.
8. You may Continue now or exit the Import Managed Workspace Wizard.

Update Documents
Suppose now that the documents outside ProjectWise got updated. Perhaps the consultant sent updated files that need to be updated into ProjectWise. Just put these new files on a drive letter and repeat the steps above. In the Validation dialog, it will look a bit different. Go ahead and tell ProjectWise to Update Server Copies for all checked items:

Then click Resolve.
ProjectWise will then update the data in ProjectWise from the data external to ProjectWise.
