compound document hierarchical structures

Our legal department would like to start storing their legal opinions in eB along with their associated reasearch.  This will be a possibly a one (legal opinion docment) to many (research document) relationship.  It is even possible that some of the research could be associated with multiple legal opinions.  I know that some of these relationships will need to be created by hand after the documents have been created but I am curious if there is a way to create a template that will create at least one legal opinion document with at least one related research document.  Each document you should share some values as attributes.  Or is there a way to have a template or work order that will create one legal document with x number of related research documents?

  • The eB Director Guide, Administrator Guide that ships with V 15.6.1 includes information on creating Document Object Classes, Building Custom Named Relationships, and Templates. You would create two new document classes, Legal Opinion and Legal Research Documents; assign metadata and create templates. You would then create a configured named document to document relationship probably along the lines of Left Name = Legal Research and Right Name = Legal Opinions. The relationship would be many to many as one legal opinion could be supported by multiple research documents and vice versa. Your document template for Legal Opinion can include a default relationship although I think you would probably want to add research after the opinion has been created.

Once a Legal Opinion document has been created, use the GUI to add a relationship for documents. From the GUI, select the Named Relationship, i.e. Research Document and then search for other otherwise find and relate the two documents. Continue to add Research Documents using the relationship GUI until complete.

If you doing quite a few of these, you can use the Bulk Document Import utility to define the documents and create the relationship in bulk mode.

    I trust this helps.

  • Hi Alex,

eB provides records management services to assist enterprises in retaining, moving, archiving, and destroying paper and electronic data.

Organizations may need to manage their records for a variety of reasons, including the following:

    •  Legal requirements for adhering to retention schedules for documents
    •  Reducing storage requirements and simplifying access for archived records
    •  Contract obligations imposed by clients, partners, or vendors

eB offers highly sophisticated and flexible Records Management Services, in the form of File Plans. The set of file plans in force forms a taxonomy for the categorization of records independent of document classification based on classes. Disposition schedules can be specified and associated with different file plans as part of a disciplined records retention, archiving, and destruction process.

Please check the below link to create a template for File Plan:

  • Is there documentation available that spells out the process of doing this?  Is there a way to specify creating more than one related research documents?  Thanks for your help.

  • Alex, I see no problems in creating a legal opinion document template, and sticking a related research document in it. Then when you use the template to create a legal opinion document, the document will have a a related research document associated with it already. Is there anything lacking in this current functionality so that your requirement cannot be fulfilled?
