Problem

We are being asked to collect data/defects for other departments. The oportunity to use the Notify field (with a mechanism to administrate), how is this set up?

Solution

See Maintenance Manager User V4.5 documentation

Populating notify defect field on Map Capture, is normally used when wishing to record defects that are the responsibility of external organisations, eg BT , going to record them but are not going to want to put on a works orders. If, when carrying out an inspection, an inspector suspects a defect found is the responsibility of an external organisation, he will enter the details in the notify field in Inspections – MAI3808 ( or map capture )  A letter  can then be  sent to the notifiable organisation stating that you believe the defect found is their responsibility. MAI3806 is provided to allow the responses to defect notifications to be registered as they are received from notifiable organisations .

There is a form in the system to set up organisations. Maintenance Manager, Reference, Inspections, Organisations. Need to set those up. Then download a new edif file so can pick up on map capture.

Defects loaded with this populated should not be selectable onto works orders.

Check the documentation for Notify defects, The responses to any notification are maintained in Responses to Notices – MAI3816.

Notifiable defect notices are produced automatically in response to the Notify field being completed in Inspections – MAI3808. Before the notice can be retrieved it has to be printed using Print Defect Notices - MAI3904.

Does Map Capture work under Windows 7 ? Although Map Capture is not officially certified against Windows 7 a number of  people are running Map Capture on Windups 7 ok using the following, on property of icon run as administrator and  tick run the program in compatibility mode and choose appropriate XP Service pack
