When I try to add include external shading the option to tick it is grayed out can you please help thanks for your time.

Hi Rodgers. You need to add objects to the plan using the Shadows program. When this is completed, the External Shading option will become active.There is some information here.I recommend you read the Shadows program manual.Regards,
