Guest User Access


Project Administrators can grant Guest User access to a SYNCHRO Control project through the Project team management functionality. Below are some FAQs associated with this:

Is there any cost associated with guest users?
No, they are free.

Is there any limit to how many guest users a project can have?
No, there is no limit.

What do guest users have access to?
Forms that are in an open state and have been assigned to them, geospatially located in map or model views, along with all information, attachments and document links. 

Do guest users have access to the iModel?
Yes. Guest users will be able to view all iModel's they have been given access to.

How do I add a guest user?

  1. Go to Administration - Roles - New to create a new role.
  2. Give the role a name and under Access, select only the checkbox next to Guest.
  3. Under Forms, give Assign permissions to the role for all forms you want to potentially make available to the guest user.
    Important: A guest user needs to be assigned at least the View permission for at least one of the form definitions in order for the grid to load properly when accessing the Guest portal.
    Note: The Create and Edit roles are disabled and cannot be assigned to a guest role.
    Note: Giving guest users the ability to see Forms does not mean they see all Forms of that type. Guest users only see forms that are directly assigned to them.
  4. Under Users, add the user you want to include and give him the new role created in previous steps.

Do guest users have access to SYNCHRO Field?
No, to access SYNCHRO Field, a user needs to have Field access or higher.

Do I need to create a new role for each organization that will be invited as a guest?
No, each user only sees Forms assigned specifically to them so keeping all guest users in the same role is safe.

Can guest users access documents?
Only documents that have been attached or linked to the forms assigned to the guest user in question.

Can guest users access any other data?
No, guest users can only see data directly associated with forms that have been assigned to them.

Can guest users create Forms?
No, guest users can only view already created forms that have been assigned to them.

Can guest users make workflow transitions?
Yes, once they have completed their work, guest users can move the workflow to the next status. The form will automatically be assigned to the user that assigned the form to the guest user.

Can guest users reassign Forms?
No, they can only make workflow transitions that send the Form back to the user that assigned it to the guest.

Can guest users comment on Forms?
Yes, guest users can comment on any Form that is assigned to them.

Can guest users see Forms that are no longer assigned to them?
No, only forms that are currently assigned to them as individuals are visible. As soon as the form has been sent to the next status in the workflow, the form will disappear from the guest user's list.

Can guest users view markups?
Yes, markups made as a part of form creation are visible to guest users in read-only mode.

Can guest users mark up PDFs?
Guest users are not able to add new markups to existing files but they can upload marked-up files.
