How to setup Digital Rights with a password without using a Digital Certificate

Solution

  1. Make sure that MS_PROTECTION_ENABLE is set to 1 or 2.
Available options for this config variable:
    - Set to 0 to disable file protection completely (default)
    - Set to 1 to enable password or certificate protection
    - Set to 2 to enable password protection only
    - Set to 3 to enable certificate protection only

  2. Up to V8i version: Go to File > Protection > Protect
CONNECT Edition: Go to File > Tools > Protection > Protect

  3. The Protect dialog will appear. Change the mode to "With Password" and create a password.
By default, the created password must have a mixture of letters and numbers and be at least 5 characters long. When a valid password is created, the OK button will be selectable.

This is an Author Password that, when entered, will give the user total access to the file (write, print, export, etc.).
Note that if you forget this password you will not be able to retrieve it and the file cannot be opened without it.

  4. The Digital Rights dialog will pop up after selecting OK where you can see the newly created Author Password portrayed as an "Author License".

  5. (Optional) Click the Add Password icon, add a completely new password, and select the Rights to associate to this password.
Fill out the fields as necessary. Press OK. This is referred to as a License Password.
When sending the file to a user to whom you would only like to give limited rights, send along this License Password.
To give them full access to the file, send them the original Author Password.
You can have multiple License Passwords in a file that can allow a variation of different rights.

In this example, a general user License Password has been created for specific users to allow viewing and printing only.
