    PROS and CONS of Workflows in ProjectWise

     Hi!  May I seek your valuable inputs please on the PROS and CONS of implementing Workflows in ProjectWise.

      There are many pros and cons to this, depending on the maturity of the system as well as the teams using the system.

      Workflows can be valuable in that they can be used for control and reporting on the documents in the workflow. Combining workflows with the Rules Engine, version locking and security can result in a well-defined execution environment with many downstream benefits.
      However, there can also be significant challenges in getting project teams that are not used to working like this into a controlled environment. Further to this, if ProjectWise security is not well understood by the admins, incorrectly defining and deploying workflows with security is a very fast way to bring a project to a halt.

      The potential benefits or detriments to your projects really depends on where you are and what your needs are from the system. If your projects are small, fast-paced and come and go quickly, workflows may not be worth-while. However, if you have a need to be able to have as accurate as possible reporting on project deliverables, or need to control many aspects of the document management process, then workflows may be beneficial.

      Some of the downstream benefits also include things like renditioning. Say for example you have a project portal that clients or other users access to get a controlled view of project documents. Workflows can be used to define when a rendition is made, thereby giving you an automated method of making data available at known points along its lifecycle.
      Reporting is also a benefit. Adding metadata to ProjectWise that is used for reporting purposes means that project status reports can also be automated because you know where any given document is in the lifecycle at any given time.
