    Purging Local Copies

    Hi,

    I am unclear as regards purging local copies. As an administrator I would like to try to understand the best practices.

    As I understand it I can go to the document organizer for my own system, logged in as myself and view the copies and choose to purge them. This will delete the entry from the database and remove the file from the BMS directory. Correct? So this would be the ideal way to manage this?

    However as an administrator what happens with other users? As I understand it, I can

        1) from the document organizer - view the files copied out.

            a) however if I delete these it will only remove them from the database, correct?

            b) assuming I can with no detrimental effects remove them as above, am I free to simply delete bms files?

            c) is there a better way to manage this? Particularly in relation to other users.

       2) the option to right click a folder and purge copies, this is exactly the same result as going via the document organizer? Only limited to the folder (inc sub folders, if you choose) selected. I assume this is still only           for your user, correct?

    We have a number that hot desk or use different systems and as a result we need to try to manage disk space effectively.

      A file purge from Local Document Organizer will delete all files listed from the local machine, however some files aren't listed there.

      A) Managed workspace files are visible under the button that looks like some tools. They have to be purged separately.

      B) Files can be orphaned locally. Documents that appear in LDO are only ones that still exist in ProjectWise. So say UserA has done a bunch of work in Folder1 so they have all those files locally. UserB deletes Folder1. Now UserA has a bunch of files locally that don't have a matching document in PW. These files will not appear in LDO and won't purge.

      My recommendation to users is:

      1. check in or free all checked out documents.
      2. purge all copied out documents.
      3. purge all managed workspace documents
      4. Delete all the sub-folders in your working directory.

      if a user begins having problems after doing this, have them go through the steps again, then you use the CHKLCLEANUP utility to purge all chkl table entries for that user's computer. We haven't had to do this for any users in awhile.

      Oh, on point 2, yes this is correct. Selecting purge on a folder purges local files from those folders only, it has the same limitation that the file must exist in PW, files deleted (from PW) will not be purged.
