    How to make copies that will automatically update when changes are made to original file?

    Hello,

    I have a folder of reference documents in ProjectWise. I am making copies of these documents to place in project specific sub-folders. The problem is sometimes I have to make updates to these documents. Is there a way I can keep the copies 'synced' with the original file, so that if I make changes in the original they are reflected in the copies?

      No. It's not possible to physically store one object in more than one location. You may be able to achieve the result that you want by creating a Document (Flat) Set in the project(s) and add the Word…

      No. It's not possible to physically store one object in more than one location. 

      You may be able to achieve the result that you want by creating a Document (Flat) Set in the project(s) and add the Word Document to it. That would work more like a link to the original document.

      Thanks but this is not exactly what I am asking for, maybe I'm asking the wrong question. How about this - is there any way to store a word document in multiple folders at once? No copies - just have the same file appear in multiple folders.

      Hi Samuel,

      The functionality that you are asking about is a feature of MicroSoft Word, not ProjectWise.

      You can do it from the Insert Ribbon > Insert Object > Text From File... 

      and then use the Insert As Link option. 

      It is not fully automatic. It does require that a user manually updates the master document (the document that is dependent on the source data) in order to receive any changes that may have been made since the last time it was updated.

      You can utilize that native Microsoft functionality from within ProjectWise, provided that the path to the linked text object that you have inserted remains consistent.

      If, for example, your ProjectWise working directory contains your user name, then you will be the only person who can successfully perform the Update Field command in the master document. If, on the other hand, all of the users in that ProjectWise datasource use a common path to their local Working Directories (e.g., c:\pw_work\datasource01) then the linked object will resolve to the correct local subfolder location for every user. The only caveat to note with that solution is that the source document (the one that is inserted into all of the masters) will need to be copied out to a user's local Working Directory before it can be synchronized (updated). 

      It would likely be easiest if the source document(s) were located in a Work Area that is synchronized with ProjectWise Drive. This would ensure that the path to the linked object file(s) are common to every user and that they are available locally whenever the Update Field command is invoked.
