    ProjectWise Workflows

This could be WAD for workflows or I could have something messed up with our workflows but here it goes.

I have a workflow set with three states.  I assigned the workflow to a folder that did not contain documents.  A user created a document in the folder it was placed in the first state by default and then set the state to second and the workflow worked as I thought it would.  As time went on the user created more documents and then changed the state for each document so that all documents in that folder were set to the second state.  Now since all documents in the folder are set to the second state any new document created is automatically set to the second state.  I performed the same function I received the same result which is not as I expected.  I also moved a current document from the second state to the first state and then created a new document in the folder.  The new document was in the first state which is what I expected.

I am under the impression that when you set workflow on a folder anytime you add a document to that folder the document is set to the default state which in my case is the first state.  If all documents in a certain folder are set to a state other than the default why would a new document take on the state of the current documents?

    TIA

    Sean

      Hello Sean,

In the dataource properties what to you have set under Documents->Creation in Workflow

I have came across the same thing.  If all the files in the folder are set to a particular workflow and the user creating the file

has the correct access rights the newly created file will be placed in the current workflow, not in the first workflow.

The help file states that when creating a file the file will be created in the first workflow stating having right access.

      Stephen,

Thanks for the response.  That seemed to fix my issue.  I appreciate your time.

Another thing to keep in mind is that the folder itself will change States as well. The folder State will always be the same State as the lowest State of any of its documents. This can be confusing depending on the permissions you have applied in the Workflow for Folders and Documents. For instance, if all the documents in a folder are in the final State, the State of the Folder itself will also be that final State. Depending on your permissions (and/or Datasource settings) this can restrict the creation of new documents in that folder.
