a number of InRoads users are working on one of our projects and the itl file is being over written and thus other users work is being lost - is this the way it is or are we doing something wrong - there doesn't appear to be a Read/Write lock available for the itl file
You are correct - there is no locking for ITL files. Since there are tools to copy templates between ITL files, I recommend each user gets their own file and if they need a template in another file, use the template library organizer tool.

seems a bit inconvenient we use an rwk file to load up all out files so i suppose that i should take it out so that we have load our itl files manually
also i guess that i should see if we have the same problem with out ird file?

IRD files have the same issues as ITL files. While it is not as easy to combine IRD files, it is possible to edit them in a text editor. Always work on copies until you are sure everything worked.
I recommend Notepad++ with the Plugin Manager installed, enabled and then used to install the XML Tools Plugin, TextFX plugin, at a minimum. It can be configured to know that many InRoads files are XML files and in addition to syntax highlighting, node/folder collapse and expand, has numerous other features that make it an ideal tool for a Bentley or Autodesk software using site.
