This workflow will show how to set up Project Access Controls. Project Access Controls allows an Administrator to define which users can save to specific directories while working within the Project Default Configuration Name.
The Project Access Control is controlled by user names within MicroStation (*.UCF). The Administrator should first begin with creating a new “user” as an administrator. This can be done by using the drop down list in the MicroStation Manager (File Open dialog) > User > New.
When the Administrator selects New the “Create User Configuration File” dialog will appear where they can specify a name for an Administrator or User. In this first case, it shows a new user by the name of “ADMIN”. After the new user has been created, open a *.DGN file.
Once InRoads has been launched, go to Tools > Application Add-ins, toggle on the Variable Manager Add-in, and select "OK". Now that the Variable Manager is added in, go to Tools > Variable Manager and toggle on the “General – Enable Project Access Control” at the very bottom.
Next, go to File > Project Defaults > New (key in a name for the specific project) > Specify the “Project Default Directory” path and any other settings then hit Apply. At that time the “Access” button will become available.
When selecting the “Access” button, it will ask if the current user wants to be used as a Project Manager. In most cases the current user should select “Yes” because Administrators would need to set up the Project Default(s). This screenshot shows that “ADMIN” user (defined in MicroStation) is set as a Project Manager.
If there are other Project Managers to be defined, use the right-click option to “Add Project Manager”. Make sure the right-click option is used on “Project Managers”.
To add additional users that do not have administrative rights, use the right-click option on the Project Access Control branch.
The following screenshot shows Survey, Road, and Drainage users have been added to Project Access Controls.
Now, to add specific folders the users can save to, right-click to “Add Folder”
Adding folders to the user names will only allow the user to save to that specific folder. Multiple folders can be added to each user if desired. If the folder is not listed in the Project Access Control, the user will not be able to save to the folder. (EX: user “Survey” will not be able to save files outside the Survey folder located under C:\Program Files\Bentley\InRoads Group V8.11\Sample Data. They may access any file and have read-write access but will not be able to save unless it’s in the specific directory defined with the Project Access Control)
After these Project Default settings have been defined for each project, the Administrator must export the Project Default (located under Project Default) so that other users can import them into their registry. These settings are saved in the Registry Editor. The user names used in MicroStation must be added separately.
